    Backing up Microsoft Outlook

    That old email might come in handy one day. Email backup should be the simplest task in the backup calendar, but it rarely turns out to be so. Outlook – the market leader – is best used with a cloud of other Microsoft messaging system around it, but anyone who dares to use it on an isolated basis will have to watch out for themselves.

    If your company has an Exchange server setup then the backups will do done for you on a periodic basis, usually a week, and all that is needed is a call to the sysadmin to get a restore. If you work for a small business, or are on your own, the world might be a lot more complicated.

    This article assumes that email is not left on or used with an Exchange server, and that email backup from the client is a critical task. The main reasons that Outlook backup on standalone PCs is important is data loss and migration from one machine to another. It’s only been with the arrival of XP and Office 2003 that Microsoft has started to pay attention to the fact that people other than corporate users have been using Outlook for their POPmail, and need tools and guidance to make the process easier.

    1: The long way

    In principle, it should be an easy if manual process – just back up the relevant files, specifically the Outlook .pst file (containing email, folders, contacts and calendar), on a regular basis. There are a number of ways to find this file in the blizzard of directories on a hard disk, the easiest of which is to use the MAIL setup in Control Panel. Click on this, the click on Data files, then Personal Folders, then settings. The directory path to the .pst file will be visible. This file can be copied manually, or noted to be added to a backup schedule.

    Unfortunately, as simple as this sounds, the .pst file has to be created from within Outlook on a regular basis. Its creation is not automatic, and this is where most of the problems begin. The manual operation involves using the import and export feature on the FILE menu, and following the prompts using “export to file”. There are several types of output file – which go unexplained of course – but the one to choose is the “Personal Folder File (.pst)” option. Using any of the others will necessitate adding a filter from the Office install CD. Are any of these alternative file formats useful? Only perhaps if you want to export for import into a separate database, otherwise they should be ignored.

    Make sure to select the correct root folder in Outlook, and to click the check box that specifes to copy sub-folders. Depending on the version of Outlook (i.e not the cut-down Outlook Express), there will be an option to compress and encrypt the data, and add a password.

    2. The simpler way

    Being a Microsoft application, there is always a simpler but less obvious way to do all this. Just click FILE, then NEW, then “Outlook Data file”. Copy that file. Just remember where you copied it from when the time comes to copy back. See Microsoft’s description.

    3. The best option

    The main issue with these solutions is that they involve the user remembering to back up the file manually, an obvious weakness. But there is another way that an amazing number of people don’t know about. For some time now, Microsoft has offered a 160K plug-in for outlook that turns Outlook backup into a one-command task that can also be configured to remind the user to run the command on a scheduled basis.

    The tool can be found here, installs in seconds, and puts a simple “backup” command on to the File menu. Open this and folder (data) files and archives can be selected for backup as needed. It also automates the restore process, so no need to remember which directory the .pst must go in as would be needed when using the above methods.

    Make sure this backup setup has been tested, perhaps using a second dummy email account. Create the account, import a .pst, then back it up using the plug-in command. No point in getting to the desperate day when a reinstall is needed only to discover that not all the folders or emails have backed up correctly. It does happen.

    So why bother with options 1 and 2 at all? It never hurts to know your enemy, particularly if (as is possible), the backup is being made while the PC hard disk is failing and won’t allow certain types of menus or Windows functions to be accessed. In that case – if the above software is not functioning properly – there is a final line of defence called MS-DOS which will allow you to get at the *.pst file.

    Access DOS (type “cmd”), and hunt for the file using the DIR command in the Outlook sub-directory below C:/Program Files. I encountered precisely this problem recently, and the command that saved the day was a piece of DOS poetry. The following found the file, allowing the simple copy command (with verification) to be wielded once the file had been located.

    DIR C:\ /s /b | FIND “*.pst”

    Using Outlook Express? It’s not as easy to do, but Microsoft provides the basics on its website.

    How to avoid phone viruses

    Mobile phone malware - viruses, worms and Trojan programs created to attack the devices - are rare, but starting to appear in Japan and Europe, where 3G technology is more popular, according to Corey Nachreiner, a network security analyst at vendor WatchGuard Technologies.

    By the time such malware hits domestic users’ handsets the programs are expected to blend into more complex threats. Some examples recently hitting overseas users include:

  • The Doomboot trojan perpetrates denial-of-service attacks by billing itself as “Warez” - premium games that have been compromised to allow free use, says Seth Fogie, VP at mobile security vendor Airscanner. Devices work until they are rebooted. Doomboot enters via Bluetooth’s discovery mode, the Web and e-mail.
  • Cardtrap spreads to phone memory cards - which can be inserted in computers to sync up a music download, picture or ringtone - where it can infect again, Fogie says.
  • Redbrowser is a Russian wireless application protocol browser that offers itself to users who don’t have one. It offers to send free SMS messages but actually charges the user US$5 to $6 per message.
  • Crossover detects and infects devices via an ActiveSync connection for Windows PCs. It can spread from phones to computers. Crossover has not been detected in public yet; in concept it fills up phone memory with useless data and exhausts phone resources.
  • More generally, buffer overflow vulnerabilities exist in the Windows Mobile software, according to Fogie, in cases where an application has not been programmed to properly check the format of incoming data. Such attacks will become more prevalent as the platform grows, Fogie says.

    Things you can do

  • Educate users that mobile phones are vulnerable and they should not install anything on them unless it’s from an authorised source.
  • Secure and control phones. Use mobile versions of firewalls and antivirus protection. (Examples come from F-Secure, which offers both, and TrendMicro, which offers an antivirus product.)
  • Secure phone ports. Many phones have USB ports. Corey Nachreiner of WatchGuard Technologies advises getting USB control software, which allows an administrator to regulate which devices (including mobile phones) are allowed on a computer’s USB ports.
  • Secure Bluetooth. If the user doesn’t need Bluetooth, disable it. If the service is needed, the end user shouldn’t accept connections from unknown parties.
  • Set policies. CSOs or CISOs can enforce policies around downloading or opening files from unauthorized sources. Don’t open or accept any unexpected attachments; verify a known party’s intent to send one.

    How To Identify LCPC/MFA Junk Ads

    If your Adsense earning per day drop suddenly while the site traffic remains stable or even on the uptrend, most likely there are too many junk ads appear on your account!

    Junk ads used to be low-cost-per-click (LCPC) ads that lead readers to made-for-ads (MFA) websites which are 99.99% classified as link farm, splog, nonsense, etc.

    Adsense junk ads usually lead the readers to a website that sharing one or more of these characteristics:

    1. With a zero Google Pagerank

    2. With a really simple and plain web template / theme design - the web design looks like a homework of novice who have just completed the first day of web development course.

    3. There is no About or Contact page that can convince readers about the site history or trustworthy value.

    4. Redirect readers to another URL that is different from the URL shown in the ads.

    5. The same web theme / template used among few tens of URLs that own by the same entity!

    6. Made-for-ads (MFA) link farm - full of ads and links that point visitors to other less popular websites.

    7. URL with misspell word (e.g affiliate as affilate, junction as junktion, etc), long domain name and/or with dash symbol, etc.

    8. Using free hosting site example Blogger or Wordpress

    Other than these manual ways to identify LCPC junk ads, there is a web service that used to automatically and directly update the list of junk ads in your Adsense account!

    Once the LCPC junks are identified, use the Adsense Competitive Ad Filter to blacklist or block them from appearing!

    Creating photo panoramas with Windows Live Photo Gallery

    With Windows Live Photo Gallery, your images are no longer limited to what you can squeeze into one photo. Windows Live Photo Gallery can automatically “stitch” together several photos in a series to create a larger, more interesting composition.

    In the past, taking panoramic photos required a special camera or the ability to use complicated camera features. The only other option was to paste photos together by hand. Photo Gallery makes creating panoramic photos much easier—and much more fun.

    Getting started

    1. Take a series of photos that overlap a little. Here is an example using photos of Amsterdam.

    2. After you import the photos into Photo Gallery, select them by holding down the CTRL key while you click each photo.

    3. Click Make, and then click Create a panoramic photo.

    4. Photo Gallery analyzes and adjusts the photos so they fit together smoothly.

    5. Select a name and folder location for the panoramic photo.

    The quality of the panoramic photo depends on the amount of overlap in the photos and the similarity of the lighting between the photos. Experiment with it a few times until you get a good feel for the type of photo scenes that stitch together best from your particular camera.

    6. After the photos are stitched together, you can clean up the rough edges by cropping the photo. Click Fix, and then click Crop photo.

    7. Select the section of the photo you want to keep and click Apply.

    Play youtube videos in MS Powerpoint

    Sometimes while giving presentations in office you want to play some management related YouTube videos and those you play in between presentation by opening YouTube website but now you can include them in your PowerPoint presentations.

    Shyam Pillai, a Microsoft PowerPoint MVP (Most Valuable Professional), has developed a tool to use to link to a YouTube Video within your PowerPoint 2007 presentation. Use this to insert YouTube videos into a PowerPoint slide. All you need to do is to provide the YouTube video URL that appears in the browser address bar, the rest is taken care of by the YTV Wizard.

    A live internet connection is required to playback the video during the slideshow. Use the free FlashBack add-in to play/rewind the YouTube video automatically.

    How to install ?

    1. You need to first extract the contents of the zip to a folder.
    2. Open PowerPoint.
    3. Click on Office Button PowerPoint Options.
    4. In the PowerPoint Options dialog, select the Add-ins tab.
    5. Select ‘PowerPoint Add-ins’ from the Manage drop down and click ‘Go…’
    6. On the Add-ins dialog, click ‘Add New…’ .
    7. Navigate to the folder where the contents of the zip file was extracted and select ‘YouTubeVideo2k7.ppa’ and click on OK.
    8. During installation process you might be prompted with the macro virus warning. Enable the macros. When the Add-in is properly loaded, it will display a tick against the add-in name.

    How to use ?

    1. Select on Insert Tab click on YouTube Video.
    2. Enter the URl to the YouTube video.
    3. Provide the additional info required.
    4. YTV will create the slides with Flash control embedded on the slide.
    5. Run the slide show.
    6. The video will be displayed during the slide show.

    How To Pronounce VoIP?

    Answer:
    I myself don’t have a fixed way of saying it. So many people in the world pronounce it in so many different ways.

    The most commong pronunciations are:

    vee-oh-eye-pee (It’s like spelling it)
    voyp (like in voice or void)
    Voice over IP (that’s rather a phrase)
    internet telephony (maybe that’s… evading acronyms)

    There is no pronunciation that it more correct than the other, since English is a dynamic language to which certain words are added or changed on popular demand. I’m not sure whether VoIP has entered the dictionary yet, though.

    ‘Voyp’ (like in voice) and V.O.I.P (vee-oh-eye-pee like spelling it) are the most common pronunciations, but most of those who are not used to the technical term and who know the technology merely as one allowing to make phone calls over the Internet call it either ‘Internet Telephony’ or ‘Voice over the Internet’.

    I myself am more at ease with vee-oh-eye-pee, like I say ess-kew-el (geek people normally say see-quel for SQL). I like it maybe because it is more faithful to what the letters represent. But at times of quick blabbering, I realize the importance of ‘voyp’ and ’see-quel’. So, for me, ‘voyp’ is quick and slang type and ‘vee-oh-eye-pee’ is more like ‘clean’ and pretentious language. But that’s only very subjective.

    I feel that when an acronym gets a continuous pronunciation like a word (’voyp’), it is a sign of popularity and success.

    Did you know the following are pronounced thus?

    EBCDIC - eb-cee-dik
    WSDL - wiz-dull
    WYSIWYG - wi-zee-wig
    GUI - goo-ee
    ASCII - ass-kee

    So, be at ease with ‘voyp’. Whichever way you say it, there still will be voice and IP in it!
    The small ‘o’

    Spelling VoIP is no big deal as it is an acronym of four letters. The only thing is that while the letters are in capital (like in all acronyms), the ‘o’ for ‘over’ is written in lower case. This is because it is a preposition, and you know how acronyms treat prepositions.

    Back to pronunciation: my other daily language is French, so now I have to sort out how to say VoIP in French… whether ‘vé-oh-ee-pé’ or ‘vwap’!
